Scenarios and Solutions for Assistant Login Access

Realcomp IDs and passwords are for use by MLS Subscribers only. This holds true of whether you are an Agent, Appraiser, Office Manager, Broker Owner, or other type of MLS system user.

Additionally, we understand the need for assistants. This page describes various scenarios under which an MLS Subscriber may want MLS access for an assistant and various solutions.


Scenario A: Personal Assistant Needs Access

Agent or Appraiser has one or more unlicensed personal assistants which he or she wants to have access his or her account.

Solution: Realcomp now offers the ability for each user to have up to two (2) personal assistants. There are two forms of personal assistant access. A Free Personal Assistant (FPA) account allows your assistant to login to the MLS when you are not logged in. A Paying Personal Assistant (PPA) account is a completely separate login which accesses the agent’s account via RCO3 Team functionality and is chargeable at $42 per month. THESE ACCOUNTS ARE BILLED QUARTERLY TO THE MLS SUBSCRIBER AND MUST BE AUTHORIZED BY THE DESIGNATED REALTOR®. You are allowed one free and up to two paid but no more than two (2) total personal assistants.


Scenario B:  Agent Team

Agent runs a team and needs to give other agents, office assistants, and/or personal assistants access to his or her account to help manage contacts, auto-emails, CMAs, etc…

Solution: Create a team for your account and put other active Realcomp user accounts on your team.  This gives these authorized individuals the ability to “work as you”. Teams work one way. You grant access for others to work as you. You can both be logged into the system at the same time. If you want two-way access, the other person needs to set up their own team and add you to it.


Scenario C:  Shared Office Administration Duties

Broker wants his or her office manager and/or office assistants to help manage the office settings for Realcomp-related functions such as billing management, listing participation in IDX, listing syndication authorization, etc…

Solution: Broker should create a team for his or her account and add the office manager or office assistants to the team. This gives these authorized individuals the ability to “work as you”. This also works for the responsible Broker of a multi-office brokerage to be able to access the system as the office managers of his or her other locations.


Scenario D: New Agent Trainees
Broker wants to introduce new agents to the MLS system before they join the Board/Association and subscribe to Realcomp.

Solution: All parties accessing the MLS are required to be Realcomp subscribers. Therefore, this type of access is not supported.

 

 


Scenario E:  Multiple Office Assistants

Multiple office assistants are all using one assistant login.

Solution: Only the person registered to the login should be using that account. Realcomp allows up to two (2) free office assistant logins for each office. Additional office assistant logins are available at a charge of $45 per month.


Scenario F:  Personal Assistant Works for Multiple Agents
Multiple agents in our office share the services of one personal assistant. How can we make this work with the new security?

Solution: There are two ways to handle the situation of a shared assistant. One being a free solution and the other being chargeable.

If the assistant accesses Realcomp under an FPA (Free Personal Assistant) account, simply submit that assistant as the FPA for each of the subscribers he/she will be assisting.  Remember, an FPA cannot be logged into RCO3 at the same time as the subscriber.  If the assistant accesses Realcomp under a PPA (Paying Personal Assistant) account, each subscriber being served by that assistant should add the PPA’s user account to their Team.


Scenario G: My Son/Daughter/Spouse Assists Me
My son/daughter/spouse assists me by entering listings, uploading photos, etc.

Solution: This type of access is the same as a Personal Assistant. They can be registered as an FPA or PPA.


Scenario H: I have two (2) assistants, one works during the day and the other works in the evening. They both share one account.

Solution: While this worked in the past, technically you have two separate assistants and they can no longer share an account. You will need two separate accesses for these two assistants.


Scenario I:   My office assistant or personal assistant is no longer employed at the office.


Solution: In the event of a change of assistant personnel, please notify us as soon as possible. We will disable the old account immediately and set up a new one for the new assistant.


Please remember, there is confidential information contained within the MLS system and its subsidiary systems. All subscribers have a responsibility to protect this valuable data. Your access to information like lockbox codes, etc. should not be shared. Failure to maintain the confidentiality of the MLS system is violation of MLS rules. Repeated violations can result in fines of up to $5,000 and additional sanctions.
